I feel you pain with the order management system. This is the major issue that is keeping us from switching shopping carts.

I’m not sure if you’re aware of this, but the rumor is that StoneEdge Technologies is releasing a new version of their Order Manager software that will have Magento compatibility. I’m not sure of the exact time frame on this, but I think I remember hearing sometime in January 09.

I know this isn’t the ideal situation. I know I would just like to see these features built right into Magento, but it might be a viable alternative until they do.

This is really quite important for me as well. My Client wants to be able to print out all orders froma certian date range and having packed them, he wants to be able to mark them all as shipped with one click. Is this not possible with Magento?

That software above is $1500, which is a bit pricey!

Magento Team plans to write a wiki article (or in knowledge base) about order flow. This is not expected before next release, so please be patient.

I would like the ability to edit / delete shipments (what if I made a mistake by including a product in it that was not in that shipment?), edit orders, and edit order status. Seems pretty simple.

I feel like i am using a Microsoft product with Magento sometimes, how about giving us the ability to make our own decisions when processing orders Varien, not what you want us to do, or even pay you the large amount of cash required for your support to do it.

Every day now I find something new that tells me we should not have bothered with Magento at its current stage.
Unless you want to dig right in and modify it to the Nth degree, it really isnt a perfectly working out of the box ecommerce system.
Scalable? Oh yes, very.
Everyday user friendly? As far everyday use i.e. processing orders, payments and product display, (and not including the development side) oh no its certainly not user friendly.

I keep threatening to move to another solution that will allow our own order process to be created in no more than 15 minutes, but our company is not willing to reinvest the time that will be required to set it all up again.
Bad business decision on our part, no doubt about it. :(

We currently use the following status’ in Oscommerce

Pending
Processing (default)
On Hold
Canceled
Awaiting CC Processing
Awaiting Stock Allocation
Pre Order
Awaiting Collection
Despatched

I like the way that in Oscommerce you can add / remove as many of these as you like. We always finish up on Despatched and only at that point is the customer able to see an invoice.
Compared to other features I dont see this as a huge technical leap, it is however essential that there is flexibility.

Since Varien insists that it knows best and since Varien thinks this is an accounting program and not a shopping cart (Why can’t an invoice be edited? We dont need an audit trail). The best solution is to write your own order management module.

We have consider writing our own order management module but have concluded that this is not a practical solution. I see that you could either:
1. write a simple module that allowed you to assign an order to have different order statuses...not done enough thinking on this but I guess it would be possible...there are even some posts in this forum regarding this
2. write a complete module that integrated order management across the whole system...order statuses, reports, exports, newsletters, editing of order etc

Option 1 above could be done but frankly for a medium to large store is not good enough.

Option 2 above is such a fundamental change to Magento that it would surely need to be updated on nearly every future release of Magento which simply is not practical.

The only sensible option that I see is for Varien to explain and if necessary change how they expect us to work (why should they tell us how to work in fact, Magento should be flexible enough to allow the user to decide how they want to use it).

I have also considered using a 3rd party product to handle order management (and perhaps more) but would prefer to have Magento do everything.

I think v1.2 is unlikely but hopefully before v.12 wink

Varien have made a good start but I don’t believe Magento is ready for a live environment (because of the way it handles orders).  We will therefore be sticking with our current setup...for the moment.

PS Is there nobody out there able to defend Magento? Can somebody please tell me they are happily processing a hundred orders a day!!

This thread is probably what is keeping me from finally pulling the trigger on going with Magento. Not only the issue itself, but the lack of response or defense from anyone.

However in my current solution I do order management with local software that I developed. All I would need Magento to do is export new orders via XML - including the Authorize.net authorization codes - and then have a way to change status from Processing to Completed, and import the tracking numbers to Magento.

Would this be possible?

It looks like there is currently no solution available for altering orders or order flow.

In the interim, it seems like it is possible to directly alter the order through the database and it will reflect the changes for the customer. Perhaps some sort of interface could be created for the admin interface?

Otherwise, this is a pretty frustrating situation for an otherwise great commerce package…

Every time I think Magento is ready and we can switch to it I come across another thread that makes me wonder. This issue seems to be the biggest deal breaker to date, there is no way I can justify “OK"ing the development of a new cart at this time with Magento or maybe ever. I just wonder how these firms that have made the switch do it?

Not having any experience with Magento I wonder if anyone call tell me if our order fullfillment would have problems with Magento. 

We process between 10 to 100 orders a day. We are never out of stock as we are the manufacturers so that’s not an issue. Everything ships the same or next day. We handle any credits through Authorize.net. Our shopping cart is an order taker only and we rekey into Quickbooks the order(love to get rid of that step). Once an order is done we change its status to complete. So you can see we don’t have a very sophisticated method, I can’t see why Magento shouldn’t be able to handle that at least.

I saw over at Stone Edge that their software slows down Magento to a crawl in its current Beta version, sounds like a great joining of bloat.

I’m really thinking the only way to get what you want is to roll your own solution from start to finish. How is Varien suppose to know what everyone needs or wants and put all of that in an easy to use and understand package that isn’t bloated up to its neck?

So now that 1.2 is out with the ‘downloadable products’ that i was waiting on I made the switch and installed Magento.  Everything seems great except I’m hitting a snag with these status’s.

When an order is placed its either pending OR processing (depending on payment method).  If the person is only purchasing downloadable content they should be able to automatically have access to the links when their order completes. 

However, downloadable content links are only activated when order status is ONE OF the following Complete(default), or i can select pending or processing or whatever.  But selecting one of them say ‘pending’ means that someone using auth.net which gets a ‘processing’ status cant access their links.

is there a way to make carts that checkout with downloadable products all have their links activated when checkout completes? regardless of what payment type they use.

since im not shipping anything i really dont want to have to go through the process of making invoices and shipments and things when my customer should be able to just get their links right then.

All you need is a query to run against the MySql database that gets all orders in the current day and then build the XML response. A php script can do this. I would expect a php/mysql programmer could do this in 2 to 5 working days depending on how well you can communicate your needs to her or him.

It *sounds* simple enough—and the actual code isn’t that miserable, it are all the small factors which require attention to detail that are the trick.

Heh, I’m thinking the same thing. We are averaging only about 6 orders per day (meaning that we ship 3 to 15 per day) and I am limiting our advertising so that we don’t get too swamped. 10 orders a day is a pretty full workload, but then add 10 more drop ship orders and we need more workers, as our current work flow process is a hodge-podge of connectors and quickbooks.

I’m a software engineer and pretty good at php/mysql/html and there’s no way any company can hand-roll a full solution. It took me almost a year working part time to convert our catalog from flat files to something database driven. Sounds real easy, but the devil is in the details. IF you used Magento for the simplest of tasks, it should be able to handle that load. My web specialist says that we would mirror the website install to an in-house server that we can optimize to the Nth and make performance a non-issue for the admin side.

The real key is what are real companies who are using Magento to handle CRM (post sale support) and ERP (track the money, but link it to customers and sales) ?? We’ve got a tool that connects to quickbooks pro, but its performance is miserable, sometimes as much as a minute per “thing” within a task. We were going to write an invoice manager and then have it import to QB, but gave up on that due to speed. Now, we’re looking at Quickbooks Enterprise to see if it’s fast enough at data exchanging. I’ve got Gigabit, Quad core processors, and tons of RAM in house, there’s no excuse for a task to be so slow as to be noticed, let alone go-to-the-bathroom slow.

If I had 5 of me on full time staff, it wouldn’t be an issue and it would be ready in 6 or 7 months… rasberry But we’re stuck with me, the boss-man, working part time to code things with the occasional few hours from my web guy. If we embrace this, I’ll definitely contribute what I learn to the forums, including if we roll our own TransFirst gateway module.

This is not a solution as such in a definate sense, but I have been using this method for ages now, and am able to access all Order Status labels instantly.

Say for example, you want to skip the invoicing step (I have too, as the invoices generated by magento are not aussie standard, and I like quickbooks better rasberry)., I say the order has been shipped, which makes Magento say the order is processing.

We then change the label in the drop down menu available at current (yours will only have one option, at the moment) to Complete, this makes the order appear complete, but in reality Magento is still thinking it is processing and the Invoice, Hold etc buttons are still accessible.

(This solution will not work for the downloadable products issue, as the actual order status is not changed, all you are doing is giving the order status a different name)
